The Price is Right!

In this issue, MPS would like to highlight its competitive position and contributions. As a favoured supplier, we take our obligations to our customers and the University very seriously. Over the past year, we have conducted pricing reviews and market comparisons of all our products. We have established a general price list and have benchmarked many of our products and services against other Universities. We are more and more confident that we are taking full advantage of our buying power to provide our customers with the high quality products they are used to … at very reasonable and competitive prices. Through your support we are able to contribute to the University in a meaningful way.

Media Production Services recognized for Distinctive Service

Staff at Media Production Services have been recognized by their peers with an award from the College and Print Management Association of Canada.

MPS earned the Distinctive Service Award at the national organization’s annual conference, which brings together print managers and staff from post-secondary institutions across the country.

Director Phil Poelmans says the award recognizes the group’s efforts in refocusing services, adjusting prices and generally transitioning into a modern digital environment.

Reminder: McMaster adopting electronic pay statements

Every two weeks, on Friday, you see them nestled in McMaster’s employee’s mail slots: the paper pay statement.

It’s a routine employees have grown accustomed to, but this October pay statements will meet the electronic age at McMaster.

In a typical two-week pay cycle McMaster currently prints 9,500 pay statements. That’s a lot of paper. But this October, thanks to its new HR system, McMaster will be able to replace most of that paper with electronic pay statements.

In this issue, we highlight our senior Customer Service Rep., Dawn Hoogstraten. Dawn started with MPS when she was 18 years old and we have come to rely heavily on her print expertise and deep knowledge base. When Dawn first started here, she remembers inputting all incoming work by hand to special books (hundreds of transactions per month). In those days, you phoned customers and suppliers rather than emailing and went to the smoking lounge at break! The times were social though: Dawn remembers hanging out with staff and students alike and playing on the Printing baseball team - the Inkspots.

Dawn does the MPS accounts payable and receivable, among her many other duties. Just recently, in response to It’s a Great Idea website suggestions, Dawn has begun sending invoices from our new PrintSmith program via email to our customers. The invoices show the project’s pricing and should be forwarded to your financial administrator for reconciliation to Mosaic reports.

Dawn’s family – husband Bill, son Geoff and daughter Emily (in her last year at McMaster), 2 dogs and 4 cats – keep her busy. In her downtime, Dawn has a passion for doing crafts of all kinds. She is an avid knitter, cross stitcher and reader. It is also important to Dawn to spend time with her girlfriends so she regularly finds ways to get together with them. (Shopping in the US seems to be one of their activities!)

Dawn and Bill went on their first cruise this spring to Bermuda to celebrate their 25th wedding anniversary. Congratulations Dawn!

Electronic Invoices from Printing

Now that’s a Great Idea!

MPS is pleased to announce its new electronic invoicing workflow… read our update on the Great Idea website.

Like many departments at McMaster, MPS made use of several independent billing systems and job tracking mechanisms to manage its work over the years and to meet the various demands particular to its industry. The launch of Mosaic’s financial system last year presented us with the opportunity to replace all of our old systems with one consolidated business management system called PrintSmith. Our solution offers a good deal of new functionality including account history, estimating and costing, billing templates, and various reporting capabilities.

One key feature is our newly acquired ability to send invoices electronically to our customers at the time of billing. We’re sure this new electronic invoicing will help departments with their reconciliation of accounts. Certainly access to timely data will help us to better manage our business, make continuous improvements and generally hone our competitive edge.

Free Holiday Calendar

MPS 2015 Calendar

Each year we like to put together a free calendar as a thank you to our clients. One of the beautiful additions to our campus this year has been the bronze statue of Senator William McMaster. The life-sized sculpture of the University’s namesake was a gift from the Alumni Association to the University in recognition of its 125th anniversary in 2012. We thought this image would be a perfect addition to our calendar this year.
